Frequently asked questions

Why does the message "Assignee is not in the project team" appear when assigning a task?

To maintain governance, the system requires that an employee assigned to a task must be an active member added in the Team section of that project's card. Open the project, add the employee to the project team first, and then assign the task.

Projects - Tasks / Add
Why does the message "Cannot complete the task before completing its subtasks" appear?

If a task contains subtasks that are still unfinished, the system rejects marking the parent task as Done to prevent skipping incomplete deliverables. All child subtasks must be finalized first.

Projects - Tasks / Edit
Why does the message "These hours are invoiced and cannot be edited or deleted" appear?

Once work hours are billed on a sales invoice to the client, they are locked accounting-wise to protect ledger audit integrity between accounting books and project records. Billed hours cannot legally be modified or deleted.

Projects - Time / Edit
Why does the message "Cannot complete the project while it has uncompleted tasks" appear?

To ensure delivery quality, the system prevents closing a project as Completed if tasks remain in "To do", "In progress", or "In review". You must complete or cancel those tasks before closing the project.

Why does the message "The project has invoiced hours and cannot be deleted" appear?

If a project includes work hours officially invoiced to clients in accounting, the system disallows deleting the project to preserve tax and accounting compliance. You can change its status to Completed or Cancelled instead of deleting.

Why does the message "Milestone cannot be marked reached before completing all its tasks" appear?

A milestone is anchored to a set of required tasks; if a manager attempts to click Mark as reached while linked tasks remain open, the system blocks the action until all associated tasks are finalized.

Why does the message "Set the project billing rate first" appear?

This message appears when clicking Invoice hours if the Billing rate field on the project profile is blank or zero. Open project editing, enter the agreed-upon hourly rate, and re-trigger invoicing.

Why can an employee only see their own projects and tasks in the system?

Under role-based permissions and governance, a regular employee only sees projects where they are assigned as team members, their assigned tasks, and personal hours. Viewing the full project portfolio and universal budgets requires the executive manager permission (projects.projects.view_all).
