This system needs the following and switches them on with it:
01How do I receive a new device for repair from a customer?
Open the Phone & electronics repair menu and select Repair tickets.
Click the Device intake button.
In the Device section, select the device type (phone, tablet, laptop, etc.), enter the Brand, Model, color, and IMEI or serial number (or enable the Customer does not know the number, or the device does not power on option).
In the Customer section, enter their name and phone number, and enable Agrees to WhatsApp / SMS messages.
In the Fault section, specify the fault type (screen, battery, charging, water damage, motherboard, etc.) and write the Fault description from customer.
In the Device condition at intake section, click Add mark to pinpoint scratches or cracks on device locations (screen, back, frame), and specify handed-over accessories (charger, memory card, SIM).
Click Save to issue the repair ticket with a serial number and print the intake receipt.
02How do I securely and confidentially record the screen lock code during intake?
On the device intake screen under the Device lock (optional) section.
Enable the Customer allowed the lock code to be recorded option after obtaining explicit customer consent.
Select the Lock type (PIN, pattern, or password) and enter the code in the Code / pattern field.
The system stores the code encrypted in the database; the code does not appear on the printed intake receipt nor in the audit log, and can only be revealed to the assigned technician holding the View lock code permission.
03How do I collect the customer's electronic signature on the intake receipt?
At the bottom of the device intake form in the Signature section.
The customer reviews the condition and logged defects acknowledgement, then signs directly with their finger in the Customer signature on intake box.
Type the Signatory name and click Save.
The signature is attached to the official intake receipt (PDF) along with a QR code allowing the customer to scan and track their repair status online.
04How does the technician record the diagnosis and prepare the initial price quote?
Open the ticket from the Repair tickets screen and click the Diagnosis and price action button.
Enter technical inspection details in the Diagnosis field and specify the Estimated time.
Enter the Technician labour in the work section.
In the parts and services section, click Add line and select the required part from the catalogue (where the system lists parts compatible with the device model first), and set quantity and price.
05How do I send the price quote and estimated duration to the customer for approval via WhatsApp?
After saving the diagnosis and price in the ticket, click the Send price to customer action button.
The system automatically sends a WhatsApp or SMS message containing a dedicated signed customer link requiring no login.
The customer opens the link to inspect fault details, required parts, total cost, and estimated time, and can tap Approve the price or Decline the repair with their signature.
If messaging channels are not active, click the Customer link button and copy the link to share manually with the customer.

07How do technicians track device distribution across the "Status board"?
Open the Phone & electronics repair menu and select Status board.

08How do I assign a repair ticket to a specific technician?
From the ticket view page or from the status board.
Click the Assign technician action button.
Select the name of the assigned Technician from the authorized repair technician list.
Click Save so the ticket appears in the technician's personal task list.
09How does the technician complete the post-repair checklist before declaring device readiness?
After completing technical operations on the device, open the ticket and click the Post-repair checklist action.
Inspect essential functions and mark their condition (OK, Has a problem, or Not applicable): screen and touch, charging, camera, audio and mic, network, buttons, battery, and fingerprint.
Click Save; the system requires passing all checklist items successfully to transition the ticket to Ready status.
12How do I deliver the device to the customer and collect payment at the cashier?
After the ticket reaches Ready status and the customer arrives for pickup.
Click the Deliver device and collect payment action button.
The system displays the account summary: invoice total minus previously paid deposit, and net Amount due.
Select the payment method (cash, card, CliQ) and enter the collected amount.
Click Confirm to print the itemized cashier invoice separated into labor charges and spare parts; the ticket status switches to Delivered and the warranty period begins.
15How does the warranty manager issue their decision regarding the returned fault?
Open the Warranty screen and browse the Returns awaiting warranty decision tab.
Open the ticket and click the Warranty decision action.
If the defect is manufacturer-related or caused by previous repair work, choose Covered by warranty to make the repair completely free of charge without billing the customer.
If the fault resulted from misuse (such as a cracked replacement screen or liquid ingress), choose Not covered, enter the mandatory rejection reason, and upload evidence photos, so the repair is re-quoted as a billable repair.
16How do I track ready devices whose owners are late in picking them up?
Open the Phone & electronics repair menu and select Uncollected devices.
The page displays ready devices exceeding the designated pickup window (e.g., more than 7 days or 14 days).
The system sends an automated tiered reminder to customers every morning via WhatsApp, and you can click the Remind now button next to any device to send an instant notification.

17How do I waive late storage fees for a customer?
Upon delivering a device that incurred daily storage fees due to delayed pickup.

Open the Spare parts screen and click the Create part button to open the part creation modal.
Enter the Part name, specify the Category (screens, batteries, charging ports, cameras, etc.), and condition (New, Used, Recovered).

Frequently asked questions
Why does the system block starting repairs or moving the ticket to "Being repaired"?
The system enforces a protection policy preventing repair commencement without verified customer approval on price and timeframe.
If the price quote is modified with increased cost after previous approval, the system revokes the old approval, returns the ticket to Draft status, and requires resending the price to the customer for re-approval.

When are spare parts deducted from inventory, and what happens if stock is insufficient?
Upon moving the ticket to the Being repaired stage or adding a part during work, the system immediately issues the part and decrements warehouse stock at actual cost.
If part quantity is unavailable in the warehouse, the system displays an alert and automatically changes ticket status to Awaiting part to notify the storekeeper to order it.
If the ticket is cancelled or the line deleted, the issued part is automatically returned to warehouse stock.
